How to Send Proposals to Customers
Once your proposal is ready, Roof Chief offers multiple options for sharing it with customers, from PDF downloads to electronic signatures.
Proposal Action Buttons
The action buttons are located at the top of your proposal:
- Save - preserves your work if you need to step away or prevent changes
- Attachments - add files from your Roof Chief file structure, such as manufacturer PDF brochures
- Preview - view a PDF preview with "PREVIEW" watermark to review before sending to customers
- View and Sign - access all delivery and signature options
- Customer Portal - add the proposal to the customer portal for leisurely viewing
Delivery Options
When you click View and Sign, you have several ways to share your proposal:
- Download PDF - save locally to email manually or attach to Outlook if that's your preferred workflow
- Email from Roof Chief - send directly as a PDF attachment through the system
- Send for E-Signature - customer signs electronically on their computer, tablet, or smartphone
- E-Sign Now - for in-person meetings, turn your tablet around for immediate customer signing
- Customer Portal - upload for customer access at their convenience
Electronic Signature Process
When selecting Send for Customer E-Signature:
- Proposal locks - no further changes can be made once sent
- Email form appears with customer's email address pre-filled
- Subject line can be customized
- Message template is provided out-of-the-box but fully customizable
- Signature link must remain in the email for customer access
Important Notes
- Once a proposal is sent for signature, it becomes locked to prevent changes
- The signature link in the email is required for customer access
- All message text except the signature link can be customized to match your sales approach
- You'll likely use all these delivery options depending on customer preferences and situations
