How to Set Up and Use Automatic Alerts
Roof Chief can automatically send email or text messages to your team members or customers when specific events occur, keeping everyone informed without manual effort.
Accessing Alert Settings
- Go to Settings
- Click Communications
- Select Alerts
Available Alert Triggers
Roof Chief offers many triggers for automatic messages, such as:
- New Contact Added
- Proposal Sent
- Contract Signed
- Production Scheduled
- And many more business events
Setting Up an Alert
For each trigger (like "New Contact Added"): Turn Alerts On/Off:
- Toggle the alert on to send messages automatically
- Toggle off to disable automatic messages for that trigger Configure Email Recipients:
- Add specific team members by name
- Remove recipients by clicking the X
- Assign by role instead of specific names (like "send to the assigned salesperson") Customize Email Settings:
- Edit the subject line to match your company's style
- Modify the message content using the text editor
Text Message Alerts
You can also send text messages separately from emails:
- Choose different recipients for text vs email
- Customize the text message content
- Some team members might get both email and text, others just one
Using Shortcodes
Shortcodes (shown in brackets) automatically insert relevant information:
- [Contact Name] - inserts the customer's name
- [Date] - shows when the event occurred
- [Phone Number] - includes the contact's phone number
- Many other options available Example: "You just received a new contact: [Contact Name] on [Date]. Their phone number is [Phone Number] for a call."
