How to Use Stages and Statuses to Keep Tabs on All Projects

 

Stages and statuses help you track where contacts and projects are in your business process, from initial lead to project completion.

Accessing Stage and Status Settings
  1. Go to Settings
  2. Click Account
  3. Select Info Settings
  4. Find Stage and Status at the top
Understanding Stages

Stages represent the major phases of your project lifecycle:

  • Lead - potential customers
  • Estimating - creating quotes and proposals
  • Job Won - signed contracts ready for work
  • Production - active project work
  • Closeout - completing and finalizing projects
Understanding Statuses

Statuses provide more detailed tracking within each stage: Lead Stage Examples:

  • New lead
  • Working lead
  • Appointment set Estimating Stage Examples:
  • Estimating
  • Needs approval
  • Proposal sent Each status falls under a broader stage category.
Dashboard Display

Stages can appear on your dashboard to show business metrics. For example, you might see:

  • 7 leads
  • 7 people in estimating
  • 9 jobs won You can control which stages appear in the dashboard using the "Show in dashboard" option.
Customizing Stages and Statuses

Both stages and statuses can be customized for your business:

  • Change names to match your terminology
  • Add new stages or statuses as needed
  • Delete unused options
  • Reorder them using the provided buttons
