# How To Review And Send A Proposal

## The last step before a proposal reaches the homeowner. Review exactly what they’ll see, then send it by email, text, or both.

**Where you are:** [*Create a proposal*](https://www.getexterio.com/help/how-to-create-a-proposal?hsLang=en)→ [*Customize it*](https://www.getexterio.com/help/how-to-edit-and-customize-a-proposal-for-a-project?hsLang=en) → **Send it**. This article covers the final step.

### When would I use this?

- Your proposal is built and ready for the customer
- You want to check how it looks before sending
- You’re sending to a spouse or property manager as well as the primary contact
- You need to change something after it’s already gone out

### How do I review the proposal before sending?

Click **View Proposal**. It opens in a new tab showing either the PDF or web page format, depending on your template.

This is exactly what the homeowner will see. Check that every change you made is reflected before you send.

### How do I send the proposal?

Click **Send Proposal** in the top right.

You’ll choose how to deliver it: **email**, **text message**, or **both**.

### Who does it go to by default?

- **From:** you
- **To:** the primary contact on the project

You can change the recipient by removing them and typing a new name — the field searches your entire CRM.

Add **CC** and **BCC** recipients from the “to” line of the email composer.

### Can I customize the message?

Yes. Your account’s **proposal email templates** pre-fill by default, and everything is fully editable before sending. You can also adjust the link if needed.

**SMS templates** work the same way, pre-filling the text message with your preferred language.

Templates are configurable, so set them up once and every proposal goes out with the language you want.

### Can I attach files to a proposal?

Yes, on both email and text. Attach **project files** already associated with the project, or **upload files** from your computer.

### Does the customer receive a PDF attachment?

**No — Exterio always sends a link, never an attachment.**

This is deliberate. The link is what lets the customer:

- Choose their packages, upgrades, and add-ons
- Select colors and variants
- Pay a deposit
- Sign electronically

All of which flows back to your team automatically, with no proposal review needed on your end.

You can still download a PDF from the proposal view and send it as an attachment separately if a situation calls for it — you’ll just lose everything above.

### Can I edit a proposal after it’s been sent?

Yes, with one exception. The proposal link is **live**, so you don’t need to resend or create a new proposal to make a change.

- **The link never changes.** Edits appear at the same URL.
- **Customers viewing it are prompted** that changes have been made, and refreshing shows them the latest version.
- **Resend if you want to** — the link is the same either way, so resending is about getting their attention, not delivering a new document.

**The exception is estimate pricing.** Once an estimate is included in a proposal, that estimate locks. Everything else in the proposal — content, pages, package sections, upgrades, add-ons, terms — stays editable.

To change a price after sending, duplicate the estimate, edit the copy, and build from there. See *How to Rename, Duplicate, and Delete an Estimate*.

### Can I see when the customer opened it?

Yes. A **full view history log** records when the proposal was viewed and on what device.

Useful for follow-up timing: a proposal opened three times on a phone is a different conversation than one that’s never been opened.

### Can I send the proposal outside Exterio?

Yes. **Copy the unique proposal link** and send it however you like.

### Where can I see that it was sent?

The proposal appears in the customer’s communication log on their **contact card**, alongside everything else you’ve sent them. See *Overview: Contact Card Walkthrough*.

### Tips and gotchas

- **Always open View Proposal first.** You’ve been working in the builder, which doesn’t look like what the customer sees. Toggled sections, reordered pages, and hidden package content only show their real effect here. Thirty seconds of review catches the thing you’d otherwise hear about from the homeowner.
- **Send the link, not a PDF.** A PDF is a document. The link is a transaction — it’s where the customer picks a package, chooses a color, accepts upgrades, pays a deposit, and signs. Downloading a PDF and emailing it yourself turns a closing tool back into paperwork, and you’ll be marking estimates sold by hand afterward.
- **Know what’s locked and what isn’t.** Proposal content stays editable after sending; estimate pricing doesn’t. If a homeowner negotiates the number, you’re duplicating the estimate — not editing the proposal.
- **Remember the link is live.** Because edits go straight to the version the customer sees, a proposal you’re mid-way through changing is a proposal they might open. Finish your edits before telling them to look, and make substantial changes in one sitting rather than over an afternoon.
- **Use the view history to time your follow-up.** Calling someone who hasn’t opened the proposal is a different call than calling someone who’s opened it four times. The log tells you which conversation you’re having.
- **CC the other decision-maker.** If a spouse, partner, or property manager is part of the decision, CC them at send time. It costs one click and prevents the “nobody told me” conversation.
- **Send by both email and text.** Email gets read at a desk. Text gets read in ten minutes. On a proposal you want acted on, both is better than either.
- **Check who it’s actually going to.** The primary contact pre-fills, which is right most of the time. On a project where the person you’ve been dealing with isn’t the primary contact, change it before sending.
- **Attach the documentation.** Inspection photos, an approved insurance scope, a warranty sheet — anything that supports the number. The proposal makes the case; the attachments back it up.
- **Edit the template message.** A default email template is a starting point, not a finished message. One sentence referencing something specific about their house separates you from everyone else who sent them a quote this week.
