# How To Track And Manage Proposals

## The Proposals page shows every proposal across your account — what’s been sent, what’s been viewed, and what’s been accepted. The same information is available per project on the Proposals tab.

#### When would I use this?

- Seeing which proposals are still outstanding
- Checking whether a homeowner has opened one before you follow up
- Finding which estimate a customer actually selected
- Reviving a proposal that expired
- Pulling the Certificate of Completion on a signed proposal

#### Where is the Proposals page?

Click **Proposals** in the left-hand navigation menu.

#### What does the Proposals page show?

Each row shows:

- Proposal name
- Project name
- Sales rep
- Project stage
- Project status
- Estimates included in the proposal
- Proposal status — Draft, Sent, Viewed, Accepted, or Expired
- Created date

Proposals are sorted newest first by default.

**Estimates highlighted in green** were selected by the homeowner on an accepted proposal.

#### What do the proposal statuses mean?

| Status | What it means |
| --- | --- |
| **Draft** | Created but not yet sent |
| **Sent** | Emailed, texted, or presented live to the customer |
| **Viewed** | The customer has opened it since it was sent |
| **Accepted** | Signed, with an estimate selected |
| **Expired** | The offer window ran out before it was accepted |

#### What makes a proposal expire?

The **valid-until date** set on the proposal. When that date passes without the customer accepting, the proposal moves to **Expired**.

#### How do I revive an expired proposal?

Edit the proposal and set a new **valid-until date**. There’s no need to duplicate it or start over — the same proposal becomes active again at the same link.

#### How do I filter the list?

- **Search** by proposal name or project name
- **Proposal status**
- **Project stage**
- **Project status**
- **Sales rep**
- **Time range** — by created date, sent date, or signed date

#### Can I see when a customer viewed a proposal?

Yes. Hover over any proposal in **Viewed** or **Accepted** status to see the view history — date and time of each view, including the device and browser.

A proposal opened four times on two devices is a different follow-up call than one that’s never been opened.

#### What can I do from the list?

- **Eyeball icon** — preview the proposal
- **Three dots icon** — view the signed receipt, if it’s been accepted

#### Can proposal activity trigger automations?

Yes. View history and homeowner actions are available as triggers for **campaigns** and **workflows** — proposal sent, viewed, signed, and declined.

See [*How to Create an Automated Campaign*](https://www.getexterio.com/help/how-to-manage-edit-and-review-campaigns?hsLang=en) and [*How to Set Up a Workflow Automation*](https://www.getexterio.com/help/how-to-set-up-a-workflow-automation?hsLang=en).

#### How do I see proposals for one project?

Open the project and click the **Proposals** tab. You’ll see the same information for that project’s proposals:

- Proposal name
- Created date
- Sent date, if sent
- Estimates included
- Estimates selected
- Status

From there you can:

| Action | What it does |
| --- | --- |
| **Preview** | View the proposal |
| **View signed receipt** | Available once signed |
| **Certificate of Completion** | The full e-signature audit record |
| **Duplicate** | Copy the proposal |
| **Delete** | Draft proposals only |

#### What does duplicating a proposal copy?

Everything — the estimates included, the template, and any customizations you made to the original.

#### What is the Certificate of Completion?

The audit record for a signed proposal. It contains:

- **Document details**
- **Signer authentication**
- **Event history**
- **Digital fingerprint**

This is what establishes the authenticity of the signature and the contract behind it. [See *How Digital Signatures Work*](https://www.getexterio.com/help/how-do-esign-and-digital-signatures-work?hsLang=en).

#### Tips and gotchas

- **Work the Sent and Viewed statuses, not the whole list.** Sent and not viewed means it never got opened — a delivery or attention problem. Viewed and not accepted means they looked and didn’t sign, which is a sales conversation. Different problems, different calls.
- **Use view history to time the follow-up.** Someone who opened the proposal twice last night is thinking about it. Someone who hasn’t opened it in a week needs a different message than “just checking in.”
- **Watch Expired — those deals aren’t dead.** An expired proposal ran out of time; it wasn’t declined. Edit it, set a new valid-until date, and it’s live again at the same link. Filtering for expired proposals regularly turns a forgotten list into a re-engagement list.
- **Check the green estimates before production.** On an accepted proposal, green shows what the customer actually picked. On a good/better/best with upgrades, that’s the scope your crew builds — confirm it rather than assuming.
- **Only drafts can be deleted.** Anything sent stays on the record. That’s deliberate — a proposal a customer saw is part of the job’s history.
- **Keep the Certificate of Completion for signed work.** The signed receipt shows a signature happened. The certificate proves who signed, from where, and that the document hasn’t changed. On a disputed contract, that’s the document that matters.
- **Automate the follow-up rather than watching the list.** Proposal viewed and proposal signed are both triggers. A campaign that nudges an unviewed proposal after three days does what checking this page daily does, without anyone remembering.
