How to Upload Files to a Project

The Files tab is where non-photo documents live — wet-signed contracts, insurance paperwork, spreadsheets, permits, and anything else that belongs with the job.

Photos belong on the Photos tab. See How to Upload Photos to a Project.

When would I use this?

  • A homeowner signed a contract on paper and you scanned it
  • An insurance carrier sent claim documents or an approved scope
  • You have a permit, a warranty registration, or an inspection certificate
  • Any spreadsheet or document the job needs on record

Where is the Files tab?

Open the project and click the Files tab. Every file uploaded to the project is listed there.

What can I do with a file?

Action What it does
View Opens a PDF preview
Move Moves the file to a different folder
Edit Change the file’s details
Download Download that file on its own

Each file also shows its size, category, who uploaded it, and when it was created.

How do I upload a file?

  1. Click Upload Files.
  2. Add an optional category, tags, and description.
  3. Choose your source:
    • Google Drive — files you’ve been given access to
    • Your device — drag and drop, or select
  4. Confirm it’s the right file.
  5. Click Upload File.

The file lands in your files list and stays on the project.

Where do file categories come from?

Categories are configurable in Settings → Files → Categories. Set up the categories your business actually uses — contracts, insurance, permits, warranties — so your team is picking from a consistent list rather than inventing one per upload.

How do I organize files into folders?

Click to create a new folder in your file structure, then move files into it.

Your default folder structure per project is set in your project settings, so every new project can start organized without anyone building folders by hand.

How do I download everything at once?

Use the download all files button in the top right of the Files tab.

How do I delete a file?

Select the file, then click the trash can icon in the top right of the Files tab.

Deletion is permanent, and anyone with access to the project can delete a file. There’s no recycle bin and no undo.

Tips and gotchas

  • Think before you delete — anyone can, and it’s permanent. This tab holds signed contracts and insurance documents, there’s no restore, and delete isn’t restricted by role. If a document might matter later, move it to an archive folder instead of deleting it. If your team handles a lot of paperwork, it’s worth saying out loud that deletes here can’t be undone.

  • Fill in the category and description. Both are optional and both are what make a file findable six months from now. “Scan_20260416_001.pdf” with no category is a file nobody will ever locate. “Signed contract — original scope” is.

  • Set up your categories and default folders once. Configure categories in Settings → Files → Categories and your default folder structure in project settings. Consistent structure is what makes files findable across jobs, not just within one.

  • Upload the wet-signed contract the day you get it. A signed contract in someone’s truck or inbox isn’t on the job. Scan it, upload it, and the whole team has it.

  • Download all before a claim conversation. If you’re sending documentation to an adjuster or an attorney, the download-all button gets the whole package in one step.

  • Signed proposals and certificates land here automatically. Signed proposals and their Certificates of Completion are stored on the Files tab as well as the Proposals tab. See How Digital Signatures Work.

  • Photos go on the Photos tab. Uploading job photos here means they won’t appear in the photo tools, can’t be marked up, and can’t be shared to the customer portal.
