How To Use Project Comments



Project Comments is a running internal conversation attached to a specific project. Instead of texting a rep or calling the office about a job, your team writes it here — and it stays with the project permanently.

This is internal team communication. It is not visible to the customer.

When you'd use it

  • The estimator needs to flag something for the production manager
  • An onsite team members sends a photo of an unexpected condition found on site
  • Someone asks "did we ever hear back on the insurance approval?" and the answer should live on the job, not in a text thread

Getting there

Open the project and click the chat icon in the top right of the screen.

Using comments

  • Post a comment
    Type your message in the field at the bottom and send.

  • Tag a team member

    Tag someone in your comment to notify them they've been mentioned. Use this when you need a specific person to see it rather than hoping they check.

  • Attach files

    Add files directly to a comment — photos from the site, a document, a screenshot.

  • Search comments

    Use the search at the top to find something in the thread. Useful on long-running jobs where the history has built up.

Tips and gotchas

  • This is the reason the feature exists: get job conversations out of your phone. A text between two reps about a homeowner's change of mind is invisible to everyone else. When that rep is out sick, or the job comes up in a dispute six months later, nobody can find it. Comments stay on the project where anyone with access can see them.

  • Tag people rather than assuming they'll see it. A comment with no tag is a note in a file. A tagged comment is a notification. If you need action, tag the person. You can manage your notification settings for internal project settings in your user settings.

  • Comments are not tasks. A comment says something happened. A task says someone has to do something by a date. If the comment ends with "somebody needs to call the homeowner," create a task instead — comments don't show up on anyone's to-do list. See How to Create a Task.

  • Write for the person who reads this in six months. "Talked to her, she's fine with it" means nothing later. "Homeowner approved the upgrade to architectural shingles on 3/14, confirmed by phone" is the note that settles a question.

  • Attach photos here, not to a text message. Site condition photos in a comment are on the record and searchable. The same photo in a group text is gone.

  • Keep it professional. Internal doesn't mean private — anyone on your team with project access can read it, and internal records can surface in a dispute.
