# Setting Up Your Notification Preferences

## Control how and when Exterio notifies you — in-app, by email, or by push on your phone. These settings are yours alone and don’t affect anyone else on your team.

### When would I use this?

- Notifications are too noisy and you want to cut them back
- You’re missing task assignments and want email as well as in-app
- You’re in the field and want push notifications on your phone
- You want to know immediately when a customer emails or texts back

### Where are my notification settings?

Click **Settings** in the bottom left of the left nav bar, then **Notifications**.

By default, **in-app and push notifications are on, and email notifications are off.**

### What can I be notified about?

| Category | Notifications |
| --- | --- |
| **Tasks** | A task is assigned to you, a task is due soon, a task is overdue |
| **Projects** | You’re mentioned in internal project comments, assigned as salesperson, or assigned as crew lead |
| **Contacts** | You’re assigned as a contact owner |
| **Email** | An email you sent is undeliverable, or an incoming email arrives from a contact |
| **SMS** | A text is undeliverable, or an incoming text arrives |
| **Calendar** | You’ve been booked on an event, or an event has changed |

### How do I choose where notifications go?

Each notification can be delivered three ways, and you choose per notification:

| Channel | Where it appears | Default |
| --- | --- | --- |
| **In-app** | Pop-ups and the notification section inside Exterio | On |
| **Email** | Your inbox | Off |
| **Push** | Your phone, through the mobile app | On |

**Push requires the Exterio mobile app** installed on your phone with notification permissions granted. If push isn’t reaching you, check your phone’s notification settings for the app.

### Can I customize the notification message?

Yes. Click the **pencil icon** on any notification to change the message it sends, so it reads the way you want it to.

### How do I get notified about proposals, invoices, and other events?

Those aren’t in your personal notification settings — they’re handled in **Workflows**.

Workflows let you pick a trigger from a long list of events (a proposal signed, an invoice overdue, and many more) and set a notification as the action. Unlike these personal settings, a workflow can notify **other team members**, not just you.

Workflows are usually managed by owners and managers as company process rather than set up by individuals. See *How to Set Up a Workflow Automation* before building one.

### Where do I see my notifications?

Click **Notifications** in the bottom left of the left nav bar. The bell icon shows your unread count.

You’ll get a preview of the most recent notifications, or click **View All Notifications** for the full list.

Clicking a notification takes you to the related project or activity.

### Tips and gotchas

- **Turn email on for what you can’t afford to miss.** Email is off by default, so if you’re waiting on an email notification that never arrives, that’s why. Turn it on selectively — for task assignments or incoming customer messages — rather than across the board.
- **Turn things off rather than ignoring them.** In-app and push are on for everything by default, and notifications you’ve learned to dismiss train you to dismiss the ones that matter. Spend five minutes here when you start — keep what you’ll act on, turn off the rest.
- **Keep incoming email and SMS on.** A homeowner replying to your text is the most time-sensitive notification you’ll get. Response speed is what wins jobs.
- **Don’t turn off undeliverable alerts.** A failed email or text means your message never arrived and the customer is waiting on something you think you sent. That’s a silent failure unless you’re notified.
- **Push notifications are for the field, email is for the desk.** If you’re on roofs all day, push is what reaches you. If you live in your inbox, email is worth turning on. Pick by where you actually work.
- **These settings are yours, not your team’s.** Changing your notifications doesn’t change anyone else’s. If the whole team should hear about something, that’s a workflow.
- **If you want to be notified about something that isn’t listed, build a workflow.** This page covers notifications tied to you. Anything event-driven — a signed proposal, an overdue invoice, a returned measurement report — lives in Workflows.
