 Setup: Calling and Texting

Setting up calling and texting takes two steps: provision a company phone number, then complete SMS registration so US carriers will deliver your texts. After that, each team member gets their own number, and you release any numbers you’re no longer using.

### When would I use this?

- You just subscribed and want your team calling and texting customers from Exterio.
- You hired a rep who needs their own number.
- A rep left and you want to give their number to someone else, or get rid of it.
- Your texts aren’t going out and you need to check your registration status.

### Before you start

- **Only Admins can manage company access to texting/calling and registration.** **Phone Numbers** is under **Account Settings**, which only Admins can see. Each team member sets up their own number in **My Settings**.
- **You need an active subscription.** Trial accounts can’t use voice or SMS. Calling and texting turn on once you subscribe.
- **Have your business details ready for registration.** You need your legal business name, EIN business type, industry, a public website, your business address, and a contact person’s name, email, phone and job title.
- **Plan to be patient for days to weeks.** US carriers review every business before it can send texts. Calling works before registration is finished. Texting doesn’t.

### How do I open Phone Numbers in Exterio?

Go to **Settings** \> **Account Settings** \> **Phone Numbers**. The page shows your SMS status at the top, then your **Company Phone Number**, **Team Member Phone Numbers** and **Unassigned Phone Numbers**.

### How do I get a company phone number in Exterio?

Click **Provision Company Number**, search for a number by area code or city, and pick one. This is step 1 of 2. SMS registration unlocks once your company number is set up.

1. Go to **Settings** \> **Account Settings** \> **Phone Numbers**.
2. Under **Company Phone Number**, click **Provision Company Number**.
3. Choose to search by **Area Codes** or **City**.
4. Enter one or more area codes separated by commas, like 813, 727, 941, or start typing a city.
5. Pick a number from **Available Numbers**.
6. On **Phone Numbers**, find **Complete registration to enable SMS**.
7. Click **Start Registration**.
8. Fill in your business details:
9. Review the campaign details. They’re filled in for you from Exterio’s pre-approved template and are submitted automatically once your business verification is approved.
10. Submit the registration.
11. The team member goes to **Settings** \> **My Settings** \> **Phone & SMS**.
12. They click **Provision Phone Number**.
13. Under **Available Company Numbers**, they can pick a number your company already owns. A number that belonged to someone else shows who had it, like “Previously: Steve W.”
14. Or they search for a new number by area code or city and pick one.
15. On **Phone Numbers**, find the person under **Team Member Phone Numbers**.
16. Click the three-dot menu on their number.
17. Click **Unlink from User**.
18. Click **Unlink** to confirm.

### How do I register for SMS in Exterio?

Click **Start Registration**, fill in your business details for carrier verification, and submit. Exterio uses a pre-approved messaging template, so you don’t have to write your own campaign.

| **Field** | **What to enter** |
| --- | --- |
| **Legal Business Name** | Your name exactly as it appears on your IRS or CRA records |
| **DBA (Doing Business As)** | Only if it’s different from your legal name |
| **Business ID Type** | **EIN (US Employer ID)** |
| **Business ID Number** | Your EIN or business number |
| **Business Type** | **Sole Proprietorship**, **Partnership**, **LLC**, **Corporation**, **Private Corporation**, **Public Corporation**, **Non-Profit**, **Co-operative** or **Government** |
| **Industry** | Usually **Construction** |
| **Website** | A publicly accessible website |
| **Street Address**, **City**, **State**, **ZIP Code**, **Country** | Your business address |
| **First Name**, **Last Name**, **Email**, **Phone**, **Job Title**, **Job Position** | The person carriers can contact about your registration |

Registration usually takes 5 to 7 business days. Until it’s done, the page says **SMS messaging is disabled until registration is complete**. You can follow each stage on the page: **Business Verification**, **Brand Registration** and **Campaign Approval**. When it’s finished, you’ll see **SMS Enabled**: “Your business is registered with US carriers and can send SMS messages.”

### How do team members get their own phone numbers?

Each team member provisions their own number in **Settings** \> **My Settings** \> **Phone & SMS**. They can pick an unassigned number your company already owns, or search for a new one.

Their number then shows under **Team Member Phone Numbers** on the **Phone Numbers** page.

### How do I take a number away from a team member who left?

Click the three-dot menu on their number and choose **Unlink from User**. The number moves to **Unassigned Phone Numbers**, where another team member can claim it.

### How do I release a phone number I don’t need?

Click **Release** next to the number under **Unassigned Phone Numbers**, or choose **Release Number** from a team member’s three-dot menu. Releasing a number can’t be undone.

When you release a number, it’s removed from your account and may be reassigned to another company. Anyone who calls or texts it after that won’t reach you.

### Tips and gotchas

- **Start SMS registration the day you subscribe.** Carriers can take weeks to approve it, and texting doesn’t work until they do. Provision your company number and start registration on day one, not the day you want to send your first text.
- **Enter your legal business name exactly as the IRS has it.** Carriers check your registration against official records. A nickname, a typo, or your DBA in the legal name field is the most common reason registration gets held up.
- **Unlink before you release.** When a rep leaves, unlink their number instead of releasing it. Customers who have that number in their phone can still reach your company when the next rep picks it up. Once a number is released, it’s gone for good and could end up with another business.
- **Give every rep their own number.** Texts and calls tie back to the person who made them. A shared number makes it impossible to tell who said what to a customer.
- **Use a website that’s live.** Registration needs a publicly accessible website. A site that’s down or under construction can get your registration rejected.
