# Setup: How To Connect Your Google Or Outlook Email And Calendar
## Connecting your Google or Microsoft account lets you send email from Exterio, see your email conversations with contacts inside Exterio, and keep your appointments on the calendar you already check on your phone. You connect one account, and it covers both email and calendar.
### When would I use this?
- You just logged in to Exterio for the first time and want your email and calendar working.
- Your appointments aren’t showing up on your phone’s calendar.
- Exterio says your account is missing permissions or needs to reconnect.
### Before you start
- **Every user connects their own account.** You don’t need Admin access, and an Admin can’t connect your account for you.
- **Use your work email account.** Exterio connects to one Google or Microsoft account per user for both email and calendar.
- **Have your password ready.** You sign in to Google or Microsoft and approve the access Exterio asks for.
### How do I open Email & Calendar in Exterio?
Go to **Settings** \> **My Settings** \> **Email & Calendar**. Changes on this page save automatically.
### How do I connect my Google or Microsoft account?
Click **Connect Google** or **Connect Microsoft**, sign in, and approve the access Exterio asks for.
1. Go to **Settings** \> **My Settings** \> **Email & Calendar**.
2. Under **Connected Account**, click **Connect Google** for Gmail or Google Workspace, or **Connect Microsoft** for Outlook or Microsoft 365.
3. Sign in to your account.
4. Approve every permission Exterio asks for. Skipping one limits what Exterio can do.
5. When you’re back in Exterio, your account shows as **Connected** with your email address.
When you connect Google, Exterio reads your recent email with your contacts to show those conversations in Exterio. Gmail access is read-only. Your email is visible only to you. It’s never sold, never used for advertising, and never used to train AI.
### How does email sync work in Exterio?
With email sync on, your email conversations with your contacts show up in Exterio. The **Email** section shows **Sync enabled** or **Sync disabled**.
- Use the switch to turn email sync on or off.
- Click the refresh icon (**Sync now**) to pull in new email right away.
### How do I set my default calendar view?
Choose **Day**, **Week** or **Month** under **Default View**. The calendar opens in that view every time.
### How does calendar sync work in Exterio?
Exterio syncs your events to a calendar in your connected account. Events you’re a team member on always sync.

### Should I turn on “Also sync events I create”?
Turn it on if you book appointments for other people and want them on your own calendar too. Office staff who schedule for reps and crews usually want this. Leave it off if you only want the appointments you’re actually attending.
### How do I disconnect or reconnect my account?
Click **Disconnect**, then confirm. Disconnecting turns off both email and calendar sync until you reconnect.
If Exterio shows **Reconnect** or **Re-authorize**, your connection has expired or is missing a permission. Click the button and sign in again, approving every permission. If you see “This account is missing permissions needed for full functionality,” this is the fix.
### Tips and gotchas
- **Approve every permission when you connect.** If you uncheck a permission on the Google or Microsoft screen, Exterio can’t send email or sync your calendar. This is the most common reason a rep’s emails or appointments “aren’t working.” Click **Re-authorize** and approve them all.
- **Connect before you send your first proposal or schedule your first appointment.** Exterio sends email through your connected account, so proposals and messages come from your own address. Connect first so your first customer email looks like it came from you.
- **Disconnecting stops email and calendar together.** There’s no way to disconnect just one. If you only want to stop email, turn off the email sync switch instead.
- **Office staff who book for others should turn on Also sync events I create.** Without it, the appointments you schedule for reps don’t show on your own calendar, and it’s easy to double-book.
- **Use your work account, not a personal one.** Your connected account sends email to your customers. A personal Gmail address on customer email looks unprofessional, and your customer conversations end up in a personal inbox.
