# Setup: Project Overview Panel And Custom Fields

## The project overview shows a project’s key details in panels, like Team, Project Dates, Insurance Information and Adjuster Information. You decide which panels and fields your team sees, the order they appear in, and which ones to fill in when a project is created. You can also add your own fields and panels for anything Exterio doesn’t track yet.

### When would I use this?

- Your team only does retail work and never needs the insurance and adjuster panels.
- You want the panel your team uses most at the top of every project.
- Reps keep skipping the sales rep or source when they create a project, and you want it required.
- You need to track something Exterio doesn’t have a field for, like “Permit Number,” “HOA Approval” or “Number of Stories.”
- You want insurance panels to show only on insurance jobs.

### Before you start

- **Only users with Feature Settings access can change project panels and fields.** By default, that’s Admins and Managers.
- **Changes affect everyone.** Every user sees the same panels and fields on projects.
- **Set up your tracks and work types first.** Panels and custom fields can be shown only on certain tracks or work types. See “Setup: Project Work Tracks” and “Setup: Project Work Types.”

### How do I open Project Fields in Exterio?

Go to **Settings** \> **Feature Settings** \> **Projects** \> **Project Fields**.

The **Project Detail Panels** page lists every panel in the order it appears on projects. Click the arrow on a panel to see its fields.

### What panels come with Exterio?

| **Panel** | **What’s in it** |
| --- | --- |
| **Team** | Sales Rep, Foreman (Production Lead), Estimated Value and your own team member fields |
| **Lead Information** | Source, Reference Number |
| **Project Dates** | Created, Sold Date, Start Date, Completed |
| **Insurance Information** | Insurance Company, Claim Number, Date of Loss, Claim Filed, Deductible, Depreciation, Has Paperwork, Damage Location |
| **Adjuster Information** | Claim Approved, Adjuster Name, Adjuster Phone, Adjuster Email, Met with Adjuster |
| **Custom Fields** | Fields your company adds |

These panels are marked **SYSTEM**. You can hide, rename, reorder and change them, but you can’t delete them. Panels you create are marked **CUSTOM**.

Fields that aren’t in any panel are listed under **Unassigned Fields** at the bottom of the page.

### How do I show or hide a panel?

Click the eye icon on the panel.

A hidden panel is grayed out in the list and doesn’t appear on projects. Click the eye again to bring it back.

### How do I change the order of panels?

Drag a panel by its handle on the left to a new spot. Projects show panels in this order, so put the ones your team uses most at the top.

### How do I show a panel only on certain jobs?

Click the gear icon on the panel, choose the tracks and work types it should appear on, and click **Save**.

1. Click the gear icon on the panel.
2. Under **Show for Tracks**, click the tracks this panel should appear on, like Insurance.
3. Under **Show for Work Types**, click the work types this panel should appear on, like Roofing.
4. Click **Save**.
5. Click **Create Custom Field**.
6. Enter a **Field Name**, like “Permit Number.”
7. Choose a **Field Type** (see the table below).
8. If you picked **Dropdown**, enter the choices.
9. Check **Required Field** if your team must fill it in.
10. Add **Help Text** if it would help your team know what to enter, like “From the city permit, not the HOA approval.”
11. Under **Show for Tracks** and **Show for Work Types**, check where this field should appear. Leave them unchecked to show it on every project.
12. Click **Create Field**.

Leave all tracks or all work types unselected to show the panel on every project. You can also rename the panel here, in **Panel Name**.

For example, set **Insurance Information** and **Adjuster Information** to show only on your Insurance track. Your retail jobs stay clean, and your insurance jobs have everything your team needs.

### How do I change the fields in a panel?

Click the arrow on the panel to see its fields. Each field has these settings:

| **Setting** | **What it does** |
| --- | --- |
| **Visible** | Shows or hides the field on projects. Click the eye icon to change it |
| **In Create** | Asks for the field when someone creates a new project |
| **Required** | Your team can’t create a project until the field is filled in. Only available when **In Create** is on |

Drag a field by its handle to change its order in the panel.

To rename a field, click its pencil, enter a new **Display Name**, and click **Save Changes**. For example, your company might call the Production Lead a “Foreman.” Leave the name blank to go back to the default.

### How do I move a field to a different panel?

Click the **+** on the panel you want the field in, then pick the field under **Or add existing field**.

To place a field from **Unassigned Fields**, click **Assign to Panel** next to it.

### How do I add a custom field?

Click **Create Custom Field**, fill in the details, and click **Create Field**.

To add a custom field straight into a panel, click the **+** on that panel and choose **Create New Custom Field**.

### What types of custom fields can I create?

| **Field type** | **What it’s for** | **Example** |
| --- | --- | --- |
| **Short Text** | A single line of text | Permit number |
| **Long Text** | Several lines of text | Access instructions |
| **Number** | A number | Number of stories |
| **Currency** | A dollar amount | Supplement amount |
| **Date** | A date picker | Permit approved date |
| **Dropdown** | One choice from a list you set up | Roof pitch: Low, Medium, Steep |
| **Yes/No** | A yes or no switch | HOA approval needed? |
| **Phone** | A formatted phone number | Property manager’s phone |
| **Email** | An email address | Property manager’s email |
| **Team Member** | Someone on your Exterio team | Canvasser, Project Coordinator |

### How do I add a panel?

Click **Create Panel**, enter a **Panel Name**, and click **Create Panel**.

The **Panel Key** fills in automatically from the name. Once the panel is created, click its **+** to add fields, and its gear to choose which tracks and work types it shows on.

For example, a **Permits** panel could hold Permit Number, Permit Submitted and Permit Approved.

### How do I delete a field or panel?

Click the delete icon on the field or panel, then confirm.

System panels can’t be deleted. Hide them instead.

### Tips and gotchas

- **Hide what your team doesn’t use.** If you never do insurance work, hide the Insurance Information and Adjuster Information panels. A shorter overview is faster to read and easier to keep up to date.
- **Only require what you really need.** Every required field is one more thing a rep has to fill in before they can create a project. Sales Rep and Source are usually enough.
- **Use your company’s words.** If your team says “Foreman” or “Project Manager,” rename the field to match. Everyone knows exactly what to fill in.
- **Pick the right field type the first time.** A **Dropdown** gives you clean answers you can sort and filter by. **Short Text** lets everyone type it their own way.
- **Use Team Member fields for anyone who touches the job.** A Canvasser or Project Coordinator field shows who was involved, right on the project.
