# Setup: Project Tags
## Tags are labels you put on projects, like “Financing,” “VIP” or “Warranty Callback,” so your team can spot them at a glance and pull them up with a filter. A project can have more than one tag.
### When would I use this?
- You want a quick way to group projects that don’t fit your stages, work types or sources.
- You want to flag jobs that are likely to leave a good review, so someone asks for one.
- You want to mark commercial jobs, repeat clients or jobs with a difficult HOA.
- You want to see every job that’s using financing.
### Before you start
- **Only users with Feature Settings access can manage tags.** By default, that’s Admins and Managers.
- **Tags affect everyone.** Every user picks from the same list of tags.
- **Check what Exterio already tracks.** If what you want to label is a trade, where the job came from or where it stands, use a work type, source or stage instead. See “When should I use a tag instead of something else?” below.
### How do I open Custom Tags in Exterio?
Go to **Settings** \> **Feature Settings** \> **Projects** \> **Custom Tags**.
Each tag shows how many projects use it and whether it’s active.

### How do I add a tag?
Click **Add Tag**, name it, pick a color, and click **Add Tag**.
1. Click **Add Tag**.
2. Enter a **Name**, like “Financing” or “VIP.”
3. Pick a **Color**. The **Preview** shows how the tag will look on projects.
4. Click **Add Tag**.
The new tag is ready to use on projects right away.

### How do I rename a tag or change its color?
Click the pencil on the tag, make your changes, and save.
### How do I turn off a tag I don’t use anymore?
Turn off the switch in the **Active** column.
A turned-off tag can’t be added to projects. Turn the switch back on any time to bring it back.
### How do I delete a tag?
Click the delete icon on the tag, then confirm. You can only delete a tag that no projects use. If any project uses it, turn the tag off instead.
### When should I use a tag instead of something else?

| --- | --- |
| The trade, like roofing or gutters | **Work type**. See “Setup: Project Work Types” |
| Where the job came from, like Google or a referral | **Source**. See “Setup: Project Sources” |
| Where the job stands, like Production or Invoicing | **Stage and status**. See “Setup: Project Stages and Statuses” |
| A detail you need to type in, like a permit number | **Custom field**. See “Setup: Project Overview Panel and Custom Fields” |
| Anything else you want to spot or filter by, like Financing, VIP or Commercial | **Tag** |
### What tags do other contractors use?
| **Tag** | **Why it helps** |
| --- | --- |
| **Financing** | See every job waiting on, or paid by, financing |
| **VIP** or **Repeat Client** | Give your best clients extra attention |
| **Review Request** | Remind someone to ask a happy homeowner for a review |
| **Commercial** | Spot commercial work in a mostly residential pipeline |
| **HOA** | Flag jobs that need HOA approval |
| **Warranty Callback** | Track return trips under warranty |
### Tips and gotchas
- **Keep the list short.** Ten tags your team uses every day beat fifty nobody remembers. If a tag hasn’t been used in months, turn it off.
- **Name tags so they make sense on their own.** “Financing” is clear on any project. “F” or “Tag 2” isn’t.
- **Agree on when to use each tag.** If one rep tags every repeat client “VIP” and another doesn’t, the filter won’t show you the full picture.
