Introducing Internal Comments: Keep the Right Conversations in the Right Place

Running a roofing or exterior contracting business means juggling countless moving parts—jobs in progress, crews in the field, sales reps following up with leads, and office staff making sure nothing falls through the cracks. Until now, those quick back-and-forth updates often got buried in texts, group chats, or scribbled on paper. That’s where our new Internal Comments feature comes in.

With Internal Comments, your team has a dedicated space to communicate about job-related to-dos—without cluttering up the job notes that should stay focused on lead and property information.

Why Internal Comments Matter

Think about the last time a detail got lost in translation. Maybe someone forgot to pass along the update from the insurance adjuster approving additional decking. Or a sales rep had a quick question about scheduling that never made it to production. Small misses like these can turn into callbacks, delays, and frustrated customers.

Internal Comments solves this by:

  • Centralizing conversations: Every decision, update, or question lives right on the job page.

  • Cutting down on confusion: Job notes remain clean, focused on lead/property info, while action-oriented chatter stays in Comments.

  • Keeping everyone looped in: Tag a teammate with @mentions, send them a notification, and they’ll know exactly what needs attention.

No more digging through text chains or guessing who said what—everything is time-stamped, searchable, and easy to find.

How It Works

  • Access comments easily: From any job page, click the Comments icon next to the job name to open the panel.

  • Post an update or question: Add a comment with text, photos, or even templated messages for common updates.

  • Tag teammates: Use @mentions to notify the right person immediately (e.g., “@Mark, did you call the insurance rep?”).

  • Reply in threads: Keep discussions organized with back-and-forth replies.

  • Stay notified: Team members get an email or text notification (based on their settings) with a direct link to that specific note on the job.

  • View history: Access all the comments you’ve been tagged in under “History” in the left-hand navigation. Managers can search across all comments to spot issues or follow up.

Real-World Use Cases

Here are a few ways roofing and exterior contractors are already using Internal Comments:

  • Sales → Production handoff: A sales rep can note, “Homeowner requested ridge vent upgrade—@Lisa please confirm before ordering materials.”

  • Crew coordination: A foreman snaps a photo of damaged decking and comments, “Need approval to add 3 sheets of OSB—@Mark?”

  • Insurance follow-ups: A team member asks, “@Mark, did you call the insurance rep?” so nothing falls through the cracks.

  • Management oversight: Owners can choose to get notified on all comments, giving them visibility into how jobs are moving without having to chase updates.

  • Quick reminders: Instead of cluttering the job stage with minor details, add a comment like “@Josh double-check skylight flashing before wrap-up.”

The Bottom Line

Internal Comments give your team the best of both worlds:

  • A quick, flexible way to communicate about action items.

  • A clean separation from permanent job notes that tell the story of the lead and property.

This means fewer dropped balls, smoother handoffs, and less time chasing people down for answers. And because it’s built directly into Roof Chief, it keeps all your job communication tied to the right place—organized, accessible, and never lost.
